Delegates Role

The role of a SVLGA Delegate is an active role, as opposed to a passive one.

For consistency a delegate should be prepared to serve for several years as it may take time to understand the extent of the role.

A delegate is required to attend the Annual Delegates Meeting held in February. An envelope with all the relevant paperwork, competition entry forms, posters, membership cards and information for the year will be issued to each delegate at this meeting.

You are required to actively communicate this information from the SVLGA to your members and ensure that all ladies receive their fixture cards. Fixtures are also shown on the website. The website is www.staffsgolf.co.uk, click on Staffordshire Ladies County Golf Association and then select County Vets tab to get the drop down menu.           

A delegate is required to attend the SVLGA AGM held in November.

If the delegate is unable to attend either of the above meetings it is important that they send someone to represent the Club.

Every year the subscriptions for each club member need to be collected by the delegate. It is important that the delegate ensures that all eligible ladies within their club are aware of the SVLGA and how to join, especially those reaching the age of 50. The delegate must complete the membership form listing in alphabetical order all the members, including all their contact details, interest in matches etc and send it to the Secretary by the required date with a bank transfer for the relevant value. 

When any club member is interested in joining and meets the criteria for membership to the association during the year then the delegate must submit a new member’s form to the secretary, along with an online bank transfer for the subscription fee.

If a club member is going to reach the age of 50 during the year, is interested in joining the association and also interested in playing in the matches the delegate should inform the Captain & Vice Captain as early as possible giving details of their date of birth and exact handicap so that they can be considered for forthcoming matches.

Each member is required to sign a Data Protection Form when joining the association and the delegate needs to ensure that the form is completed and retained securely either digitally or on hard copy. This should be kept with all existing consents held by the delegate. Any delegate retiring must pass on all the consents they hold (either digital or hard  copy) to the new delegate.

There should be a section of the notice board in the ladies’ locker room specifically for the SVLGA, for displaying information, posters, newsletters and entry sheets. The website address should be displayed so that members may access up to date information. Please include MVLGA information on this board. It is particularly important to brief new ladies on the competitions and the role of the SVLGA.

Competitions .  Display competition notices and entry forms on the notice board. Inform members when Entry Sheets are on the notice board and encourage them to enter the competitions. As delegate you are responsible for ensuring the entry form and entry money get to the Competition Secretary by the required date.  Make sure members fill in all sections of the entry form, including meal options.  The entry form can be emailed or posted.  In order to maximise entries for SVLGA events, it is hoped that the delegate will liaise with their fixture secretary to ensure that dates for Club and SVLGA fixtures do not clash.
